Louisiana Tech Student Organizations and
On-Campus Departments

Recognized student organizations which do not have any sanctions imposed by the Student Organizations Committee may use any area of the Thomas Assembly Center twice during the school year (September 1 - August 31) without any charge for room rental. Reservation of any space is limited to a 24 hour period for the purpose of determining a use. All other charges which could include staffing of Assembly Center for events, food service, custodial overtime, lighting & sound technicians, University Police, or damage will still apply. All regulations concerning social events which are listed in the Student Organization Handbook shall apply. Any student organizations wanting to use the Thomas Assembly Center more than twice during the school year will be charged based on the following:

Fee Schedule:

  • Hall of Fame Room - $15 per hour with a maximum of $60 per day

  • Waggonner Room -  $20 per hour with a maximum of $80 per day

  • Arena - $195 per hour with a maximum of $780 per day

  • Conference Rooms - $5 per hour with a maximum of $20 per day

  • Concourse - $40 per hour with a maximum of $160 per day


Other Policies:

  • Rental for meeting rooms (Hall of Fame, Waggonner Room, Conference Rooms) will cover normal set-up of rooms with tables, chairs, and staging if necessary; use of the room; clean-up of area; and audio-visual equipment (PA, podium, video screen, and overhead projector) if available.

  • Rental of Assembly Center Arena and Concourse will cover normal set-up of
    arena and concourse with tables, chairs, and staging if necessary.  Rental will not include clean-up of these areas. Clean-up will be performed by non-university contracted labor. Contracted price for clean-up will be charged to renter.

  • All other charges which could include staffing of Assembly Center for event, food service, custodial overtime, lighting & sound technician, University Police, and damage will be charged in addition to the above schedule.  Normal operation hours for Thomas Assembly Center are 8:00 a.m. - 5:00 p.m.  Monday - Friday.

  • Any group canceling any event less than five days prior to the function shall be
    charged ½ the normal room rental.

  • All Louisiana Tech University insurance requirements for persons or organizations using university facilities will apply to this policy.

Use of Lobby

Use of a table, information booth, or ticket booth in lobby for fund raising projects or informational purposes will not count as a use of the building.

Student Recruitment and Placement Functions

Any group involved in student recruitment or placement activities will not be charged room rental.  Other charges which could include food service, custodial overtime, University Police, or damage could still apply.

Liability

Any student organization or on-campus department which sponsors an activity in the Thomas Assembly Center or anywhere on Louisiana Tech property is not required to show proof of liability insurance provided the activity is in the role, scope, or mission of the organization or department.  Under certain circumstances when a student organization or department sponsors an outside group coming on to our campus, liability insurance may be required.  This will be determined by the Vice-President of Administrative Affairs and the Vice President of Student Affairs.

Use of Louisiana Tech property for non-Tech functions requires proof of liability insurance in the amount of $1,000,000.  A certificate of insurance along with an indemnification statement must be obtained from the Director of Thomas Assembly Center/Activities and be completed and returned at least one week prior to the event.

Catering

University Food Services, which operates Louisiana Tech Food Service, has the contract to serve food on the Louisiana Tech campus.  Any group serving food in the Thomas Assembly Center must have this food furnished by Louisiana Tech Food Service or get the written permission of Louisiana Tech Food Service to have catering provided by an outside organization.  Any group requiring food service will receive a separate billing for this service.

Concessions

Concessions for all scheduled events held in the Thomas Assembly Center arena, concourse, and any other athletic venue will be provided by the Louisiana Tech contracted concessionaire.

Diagram of Set-Up

Each group using the Thomas Assembly Center should provide a diagram of the requested set-up listing any additional needs at least five days prior to function.
