All Louisiana Tech faculty and staff are governed by State rules and regulations when performing official travel on behalf of Louisiana Tech University.  State regulations require that anyone driving a university vehicle or personal vehicle on university business complete the Louisiana Driver Safety Program.

A "Request and Authorization for Tech Vehicles" must be completed and returned to the Motor Pool at the Physical Plant when needing transportation furnished by Louisiana Tech. Motor Pool vehicles are restricted to trips within a radius of 500 miles from Ruston. Thy Physical Plant office maintains a map indicating cities that are in the 500 mile radius. Louisiana Tech University Motor Pool

Note 1:  The State of Louisiana (Louisiana Tech University) is not responsible for personal vehicles or any property contained in personal or university vehicles parked at the Motor Pool compound, while in use on travel, or parked anywhere on the Louisiana Tech campus. University insurance (State of Louisiana Office of Risk Management) will not pay for theft or vandalism.

Note 2:  Effective January 5, 2004, the policy for providing replacement bus transportation when the university bus is non-operational will change.  Due to the poor condition, age and lack of reliability of our 1982 model bus, the Motor Pool Department can no longer be responsible for chartering replacement buses when the Tech bus is not in operating order.  Please consider this possibility when scheduling the bus.  When the bus breaks down during a scheduled event, the Motor Pool Department will obtain transportation to finish the trip.

The Purchasing Office maintains an open bid for bus charters.  Please contact the Purchasing Office at 257-4205 for applicability, procedures and cost.

Each vehicle contains a DAMV-3 Daily Vehicle Log. The operator of the vehicle is responsible for reporting daily vehicle usage, including purchase of gasoline, maintenance, and repair. Each vehicle must be returned to the Motor Pool compound with a full tank of gas.  Fuelman cards are the preferred method of payment for gasoline purchases.  Each vehicle should have a booklet showing locations of Fuelman stations..  If you are not sure where to obtain Fuelman cards, inquire when you pick up the vehicle.

Gasoline courtesy cards are available in the Administrative Affairs Office in Room 112 of Keeny Hall. It is illegal to purchase gasoline for vehicles not owned by Louisiana Tech with courtesy cards in the name of Louisiana Tech University. All purchases made on gasoline courtesy cards must show the license number of the vehicle, the quantity of the commodity purchased and the unit price. The only allowable purchases with the courtesy cards are gas, oil and necessary maintenance.

It is against the law for state-owned vehicles to be stored at an employee's home overnight. If a trip begins or ends after the business hours of the Physical Plant, keys can be picked up or returned at University Police.

In the event of an accident or mechanical failure, the Motor Pool Office at the Physical Plant should be notified at once. If it is after the business hours of the Physical Plant, the Power Plant should be notified.

Only University employees on official business of Louisiana Tech University are allowed to operate or ride in university owned vehicles or private vehicles that are conduction official university business.

The authorizing department head is responsible for ensuring that the persons operating university owned, leased, or private vehicles on official university business have a valid drivers license and do not have a record of violating state or local vehicle laws.

In the event of an accident, the appropriate law enforcement agency must be notified immediately. In the glove compartment of each vehicle is a packet that contains instructions on the procedures to follow in case of an accident. The packet contains a multi-part form that must be completed. The first page of the form must be completed and mailed within 24 hours of the accident. The appropriate department head should then notify the Office of Administrative Affairs and the Office of Health and Environmental Safety.
